Prize Fulfillment & Delivery Policy

This policy explains how Valtorix Competitions delivers prizes to winners, the timeframes involved, and what happens in the rare situation that a prize cannot be delivered as advertised. It applies to every competition operated by VALTORIX LTD (Companies House registration number 16946555) and forms part of our Terms of Service.

1. Winner Notification

  • Winners are determined by a live draw, broadcast publicly on the Valtorix platform. The draw mechanism is the same for paid entries and free postal entries.
  • Once a winner is confirmed, they are notified by email at the address registered on their Valtorix account, normally within 24 hours of the draw.
  • Winners are also listed on the public Results page of valtorixcompetitions.com.
  • If we cannot reach a winner by email within 14 days of the draw, we may attempt contact by phone, postal address, or other contact details on file.

2. Claim Procedure

  • Winners are asked to confirm their delivery details (full name, postal address, contact phone number) by replying to the notification email or by responding through their Valtorix account.
  • For high-value prizes (typically over GBP 1,000), Valtorix may request a copy of a government-issued photographic identity document and a recent proof of address. This is a standard responsible-operator check, not a precondition imposed by the Gambling Act 2005.
  • Identity documents are processed under our Privacy Policy and retained only for the period strictly necessary to verify the claim.

3. Delivery Timeframe

  • Physical prizes are dispatched within 14 working days of receiving the winner's confirmed delivery details and any required identity verification.
  • For larger items (vehicles, high-value electronics, custom-built goods) the published competition page will indicate the expected delivery window, which may exceed 14 days but will not normally exceed 60 days.
  • Delivery within the United Kingdom is free of charge to the winner.
  • For winners outside the United Kingdom, delivery is arranged in agreement with the winner. Import duties, customs charges, or local taxes are the responsibility of the winner unless explicitly stated otherwise on the competition page.

4. Cash Alternative

  • Every competition publishes a Cash Alternative value alongside the advertised prize. This is the equivalent monetary amount the winner may choose to receive instead of the physical prize.
  • The winner may elect the Cash Alternative at any point before the prize is dispatched, by notifying Valtorix in writing.
  • Cash Alternatives are paid by bank transfer to a UK bank account in the winner's name, within 14 working days of confirmed election.
  • For winners with bank accounts outside the UK, payment may take up to 21 working days and any transfer or currency-conversion fees levied by the receiving bank are the responsibility of the winner.

5. Prize Substitution

  • Valtorix reserves the right to substitute the advertised prize with a prize of equal or greater value if, due to circumstances beyond its reasonable control (including supplier failure, product discontinuation, or shipping restrictions), the original prize cannot be delivered.
  • Where substitution is required, the winner is offered the choice between the substitute prize and the published Cash Alternative.
  • Winners are informed of any substitution before delivery is arranged.

6. Unclaimed Prizes

  • If a winner cannot be contacted within 90 days of the draw despite reasonable attempts, the prize is considered unclaimed.
  • Unclaimed prizes are held by Valtorix for a further 90 days, during which the winner may still come forward to claim.
  • After 180 days from the draw, an unclaimed prize is permanently forfeited and Valtorix reserves the right to dispose of it (including by reallocating it to a future competition or by donating its value to charity).
  • No refunds are issued for entries to a competition where the prize is forfeited because the winner did not claim. This is consistent with the published Refund Policy.

7. Damaged or Defective Prizes

  • Winners should inspect their prize on delivery and report any damage or defect to Valtorix within 7 working days of receipt, by email to [email protected].
  • Where the damage occurred in transit and the prize is covered by a manufacturer warranty or shipping insurance, Valtorix will coordinate replacement or repair with the relevant party.
  • Where the prize cannot be replaced or repaired within a reasonable time, Valtorix will offer the Cash Alternative as a remedy.

8. Prize Source & Authenticity

  • Valtorix sources prizes from authorised suppliers, manufacturers, or licensed resellers. We retain invoices, certificates of authenticity, and supplier correspondence for every prize awarded.
  • On request from a winner, Valtorix will provide reasonable evidence of prize authenticity (for example, manufacturer serial number, supplier invoice reference, or chain-of-custody documentation).

9. Cancellation of a Competition

  • In the rare event that a competition has to be cancelled before the draw takes place (for example, because a prize becomes unavailable and no equivalent substitute can be sourced), all participants who paid for entries are refunded in full to the original payment method, in line with our Refund Policy.
  • Free postal entrants are notified by email and may, at their option, have their free entries transferred to an equivalent future competition.

10. Tax & Reporting

  • Prizes awarded by Valtorix are not subject to UK income tax in the hands of the winner, on the basis that prize competition winnings are not treated as taxable income under current HMRC guidance.
  • Winners outside the United Kingdom may be subject to local taxation on the value of the prize received. It is the winner's responsibility to comply with the tax rules of their country of residence.
  • Valtorix does not provide tax advice. Winners with specific concerns are encouraged to seek independent professional advice.
